POSITION OBJECTIVE

Working under general supervision, the Business System Analyst in Enrollment Operations functions as a business/project manager, balancing multiple projects and priorities within and across systems and customers for Enrollment Management. The analyst plans and coordinates multiple interfaces between three major student information systems in Enrollment Management: Slate for Undergraduate Admission and PowerFAIDS including Net Partner for University Financial Aid and PeopleSoft (SIS). Responsible for complete project life cycle, working independently and with emphasis on all customer-facing activities. Has a demonstrated ability and commitment to collaboration in order to develop partnerships with a variety of customers across and within schools, departments, and functional areas as well as external vendors. Translates complex business and operational requirements into designs and technical specifications.

ESSENTIAL FUNCTIONS

  1. Serve as a key member of the division of Enrollment Management’s technical team. Attend regular meetings with user groups within the division and the university. Responsibilities will include using query functions for exception analysis and recommending and implementing process improvements for Slate and PowerFAIDS. Participate in cross-functional Enrollment Management teams to help solve complex business process or information systems issues involving interfaces with systems used across Enrollment Management. Solve organizational data challenges and diagnose software problems and recommend solutions. (15%)
  2. Manage all aspects of the prospect and application processing from prospective student stage through enrollment. Responsible for the integrity and security of admissions and financial aid data. Create data-driven, analytical business processes across multiple systems and procedures and implementation of delivery systems that enhance the department’s business processes and support the strategic direction and mission of the university. Prepare detailed specifications and implement interfaces (exports and imports) to keep all Enrollment Management information systems (Slate and PowerFAIDS) and SIS data synchronized. Current application volume to manage and reconcile is over 34,000. (15%)
  3. Utilize the Extract, Transform, Load (ETL) process for data files from the US Department of Education and private systems, including College Board and Educational Computer Systems, Inc. (ECSI), to load into PowerFAIDS to assist in the administration of financial aid funding for all enrolled undergraduate, graduate and professional students. Manage financial aid disbursement of institutional and federal funding to student accounts of over $350 million. Processes must be done with extreme accuracy and timeliness to maintain federal compliance for the university. (15%)
  4. Support the onboarding of matriculated students utilizing Slate to provide checklist items and guidance to students prior to the start of the semester. Work closely with other campus partners to ensure a smooth and seamless transition to students. Extreme attention to detail is required to ensure students are viewing accurate and timely items. (11%)
  5. Lead projects which vary in complexity and will involve coordination and collaboration with other departments and [U]Tech groups at Case Western Reserve University, as well as outside vendors. Design, create, run, and maintain reports, using a variety of query tools, to produce high quality business process and student data reports for all Enrollment Management units. Use Query reporting to manage production schedule exceptions process, including identifying and resolving problems related to system interfaces. Compile and analyze exception data to complete production activities. Use Query skills to assist the department response to community needs with ad hoc reporting and to support the recruitment efforts of Enrollment Management with vendors. (10%)
  6. Configure and develop system integrations as new software are used by the Enrollment Management group including outside vendors. This involves developing all aspects of the ETL process. May lead and coordinate software customization projects and ensure quality product and timely completion along with satisfaction from the customer. (6%)
  7. Perform analysis of requests for bug fixes and enhancements including effort estimates. Develop and deliver ETL and data integration models, mappings, jobs, workflows, and plans. Evaluate, analyze, and solve critical performance issues using SQL and database queries. Analyze in-depth technical issues related to source system changes and impact on data integration and ETL. Expertise integrating data from multiple ERP applications. (6%)
  8. Analyze system data, processes, and system interactions to identify and evaluate impacts of maintenance and enhancement changes to on-going production; methods for accessing, using and/or migrating data; alternatives for establishing interfaces with applications utilizing newer hardware, software and communication technologies; and conversion of legacy systems to new technologies; develop specifications for system enhancements and maintenance projects. Troubleshoot, diagnose, and resolve complex systems analysis problems; evaluate alternatives and make sound independent decisions within established guidelines. (6%)
  9. Create and keep current operational procedures related to Slate, PowerFAIDS, SIS and OnBase for Enrollment Management. Participate in the creation of business analysis standards and guidelines and its integration with software development standards and guidelines. (6%)
  10. Convey goals and objectives clearly and in a compelling manner; listen effectively and clarify information as needed. Build relationships and foster ownership of plans and tasks. (6%)

NONESSENTIAL FUNCTIONS

  1. Maintain and update the operations manual, detailing Slate, PowerFAIDS and SIS integration processes. Document all process and business practice changes to policy and procedure manual. (1%)
  2. Collaborate with Enrollment Operations, Undergraduate Admissions, Financial Aid, and ITS staff to diagnose and resolve problems to support enrollment management goals. (1%)
  3. Analyze [U]Tech help desk tickets for trends and to assist in determining root causes and need for end user training as a liaison between ITS and Enrollment Management. (1%)
  4. Perform other duties as assigned. (1%)

CONTACTS

Department: Daily contact with all Enrollment Management Team members, including senior leadership for the purpose of running reports, reporting results of reports, updating team members on progress of ongoing projects with colleagues on campus and outside vendors.

University: Regular contact with [U]Tech, contact with many departments, faculty, and staff by representing the division at user group meetings across campus. Serve as the lead for updates to current systems/software across campus and with internal systems. Collaborate with members across the division to diagnose and solve problems.

External: Regular contact with key external operations consultants, service providers, and product vendors. Serve as the technical lead and primary contact with external vendors responsible for system updates, interfaces, and security concerns.

Students: Occasional contact with student office workers, interns, tour guides, and student ambassadors relating to ongoing projects within the division relating to the information systems within enrollment management.

SUPERVISORY RESPONSIBILITY

No direct supervision.

QUALIFICATIONS

Experience: 1 to 3 years of work experience, including technical experience required.

Education: Bachelor’s degree required, preferably in Information Systems or Computer Science. Master’s degree preferred.

REQUIRED SKILLS

  1. Technical experience preferred with PeopleSoft, Slate, and/or PowerFAIDS with data analysis, system integration, ETL design and development.
  2. Ability to work under considerable stress as employee will function in all Enrollment Management areas (Enrollment Operations, Undergraduate Admission, Marketing, and University Financial Aid) during peak production times.
  3. Possess excellent customer service skills to interact positively with internal and external customers. Ability to communicate technology concepts effectively with technically proficient and non-technically proficient individuals
  4. Ability to prioritize tasks to meet deadlines to ensure timely admission decisions and financial aid awards. Strong systems/process orientation with demonstrated analytical thinking, organizational skills and problem solving skills.
  5. Good understanding of software lifecycle development methodology. Understanding of data flow and data models for some common business systems such as finance, procurement, student admissions, human resources, research administration, etc.
  6. Experience working with and configuring Windows OS. Strong technical skills utilizing Windows operating systems in a client/server environment, PC configuration, SQL databases and networks. Hands on experience with PC/server hardware components preferred.
  7. Ability to meet consistent attendance.
  8. Ability to interact with colleagues, supervisors and customers face to face.

WORKING CONDITIONS

Typical office environment. Some travel required. May be required to work outside of normal business hours. The employee will perform repetitive motion using computer mouse and keyboard to type.
